EDMS: Valuable but Disguised Benefits
Those who use Electronic document management systems (EDMS) swear by the efficiency and productivity that is being unleashed by their adoption and maintain that it is worth each penny that is being invested. The apparent benefits of EDMS make it a worthwhile investment.
The obvious and apparent benefits of an EDMS is the ease with which the documents floating in an organization can be stored, retrieved, accessed and searched with relative ease as when compared to a manual document management system. A manual document management system entails a lot of manual activity involved in storing, scanning and mining of the data.
However, it is the disguised benefits that make EDMS a worthwhile investment.
Improved TAT and Response Times
With faster and quicker retrieval of documents due to their presence in virtual systems, it becomes easy for personnel to respond to customer or departmental queries. For instance, if a customer of a bank who has a home loan in his name wants to sell his encumbered property, he needs to have a copy of the documents so that he can negotiate with the seller. He submits an application to the bank for the same. The teller then routes this request to the home loan department who then just retrieves the scanned documents based on some already indexed tags. These scanned images are then emailed to the customer, and his request is closed. All this would be very tedious and consuming if the DMS were to be manual. In that case, the physical documents would have to be retrieved and a copy handed over to the customer.
‘Well informed is well armed’ goes the saying. With EDMS, you are sure to be armed with all the info that you need about your organization which gives you a competitive edge. For instance, if a consumer goods company is deciding to launch a new product in a category where it is already present in the market, it would do well to study the sales figures of the products already being sold in the said category.
Better Operational Efficiency
Due to the improved flow of information, it becomes easier to get hold of data that is crucial in decision-making. This facilitates investing more time on actual decision-making rather than spending it on digging data from within the system. This results in faster implementation and faster evaluation of those decisions.
