Imagine you are the head of radiology in a big multi-specialty hospital. All the data is available to you in the form of printed forms that have a mixture of mechanical readings as well as handwritten data. Data capture refers to a simple mechanism of feeding bundles of documents in a scanner and getting it scanned. After scanning, the scanned images are fed into a computer system that extracts the relevant fields of data and arranges it in a presentable document that can be later used for presentations or meetings. This method is only useful for extracting data from forms where the information’s mostly provided like check boxes or multiple choice formats. The system only needs to read the box that has been checked or ticked and record that choice. This system would be unable to read handwritten data where the text is highly prevalent.
To address this issue, data entry is used. Data entry is a simple method of entering the data manually after going through the documents either in their physical or scanned form.So, for instance, there are medical reports that are prepared by the doctors which have to be the first read and then data has to be extracted. This is done by data entry operators who are called medical transcriptionists. They go through the entire data manually and then come up with data arranged and recorded relevantly. This method of form capture involves a lot of time and as it is labor-intensive, is very expensive.
A method where both the above can be used is brilliant form capture which uses character recognition techniques to identify handwritten text and extract the relevant details from the document. Optical character recognition software can read the handwritten text and glean out the required details which can then be moderated by human intervention. This will ensure that human effort is minimised and restricted to only checking for errors. Hence, it does not require the amount of labour that is needed for manual data entry.
