Indexing – A process used to consolidate related documents in an organized fashion. Indexing stored documents is the greatest intellectual challenge in document retrieval. Anyone can scan a piece of paper. The hard part is devising an indexing scheme that describes every possible parameter (or “taxonomy”) for later searches, comparisons, and processing.
The above makes it amply clear that Indexing is something that differentiates a scan shop from a scanning solution company. After the document is scanned, it is either pushed into the cloud server of the client or further processed. The further process is done so that the documents are properly structured into a framework from where the relevant details and data can be retrieved and accessed.
For instance, once the admission forms for a University are scanned, they need to be indexed so that the relevant fields like the name of the applicant, course applied for, type of learning, etc. are picked up and tagged so that they may facilitate future searches. So, for instance, if the VC of the University later wants to find out how many applicants have applied for a particular course, he just has to type the name of the course, and he gets the results.
